The Role
To act as an effective generalist HR support for all Managers & Employees in Tallin/Nordics office and Eastern European countries.
The post holder will:
- Be responsible for the HR Admin and Recruitment function in the region
- Be responsible for Office administration function in Tallinn/Nordics countries
- This role reports directly to the HRM North Region
Duties
HR Recruitment
- Creates job advertisements according to recruitment needs and manage job portals accordingly
- Ensures the efficient recruitment according to department needs
- Manages recruitment processes where relevant (CV selection, phone screens, interview coordination with dept. managers, job offer confirmation, new employee preparations etc.)
- Manages the Induction training for all newcomers
- Manages HR recruitment reporting for statistics when necessary
HR Admin
- Delivers high quality, detailed HR documentation as required (employees contracts, contract amendments, employment declaration etc.) for all entities
- Manages all employees electronic and paper files
- Provides to Finance (or external payroll partner where relevant) with new starters documents and inform about any relevant changes to personal details
- Manages employee health checks
- Manages employee holiday applications
HR Projects
- Provides the support to the HR Manager where required
HR Processes
- Workday
- Responsible for 100% Workday accuracy
- Undertake all administration task relevant to HR on Workday
- Uploads each employees contract and personal documents into their WD personal file
- Check the time off administration and make any required adjustments
- HR Policy - provides support to the HR Manager to keep HR policy up to date in line with relevant employment law
- Employee lifecycle provides support to employees & managers on employee lifecycle activities
- Payroll
- Manages the administration of the payroll processes
- Communicates and co-operate with external payroll provider(s)
Office Administrative tasks (Nordics/Tallin Office)
- Quick resolution of issues and problems concerning office space and daily office work
- Daily communication with different service providers
- Order different supplies, handles postage and courier services
- Manage general email inboxes and take care of incoming calls
- Handle employee key cards, parking cards, visitor key cards
- Handle coffee and water machines, orders maintenance
- Organize occupational health and safety together with Work environment specialist and maintenance of relevant documentation
- Acts as Office Fire Safety Officer, maintenance of relevant documentation, employee training
Job Requirements
To succeed in this role you should have:
Essential:
- Strong HR Recruitment and Admin experiences in a fast paced commercial environment, ideally gained within the travel or retail sector
- HR local qualification or shows significant relevant experience within HR Generalist role
- Strong recruitment skills
- A solid understanding and working experience of employment law
- Ability to plan, prioritize and deliver multiple tasks simultaneously
- Positive, can do, flexible attitude
- Experience of working in a matrix environment
- Experience working with an HR Information System
- Fluent English and ideally Norwegian
