Executive Assistant
Tallinn Electrical Engineering Factory ESTEL (www.tet-estel.com) was founded in 1870 and is one of the oldest in our country and on the European continent. Today, it occupies a leading position in the market for power electrical equipment and develops, manufactures, and supplies a wide range of converter technology and power semiconductor devices. The company's products are supplied to more than 40 countries, and the trademark is registered in 37 countries.
We're looking for an Executive Assistant.
What you'll be doing:
- Coordinating the daily work of the administrative department of the company;
- Maintaining office and document management for the company;
- Scheduling meetings and sending meeting invites to attendees;
- Greeting and meeting visitors, preparing working rooms;
- Complete a broad variety of tasks, including producing complex documents, reports, and presentations; collecting and preparing information for meetings; composing and preparing correspondence both for internal and external purposes;
- Organizing travel by booking accommodation and other reservation needs as required;
- Assist in organizing exhibitions and preparing advertising materials;
- Monitor the corporate website and social media, adding news and other relevant information;
- Support recruitment where needed for the HR department;
- Keeping an inventory of office supplies and ordering new materials as needed.
Requirements
- Minimum of 3 years of successful previous experience as an Executive Assistant;
- Knowledge of the order of systematization of documentation using modern information technologies;
- Good command of written and spoken English, Estonian, and Russian;
- Excellent presentation and interpersonal skills;
- Strong contract negotiation and prospecting skills;
